Festival Coordinator, Volunteer Reimbursement & Logistics

The Festival Coordinator, Volunteer Reimbursements and Logistics is charged with coordinating volunteer reimbursements and logistics for the 2022 Sundance Film Festival. 

Working closely under the direction of the Senior Manager, Talent, the Festival Coordinator, Volunteer Reimbursements and Logistics supports Sundance Institute’s commitment to recruiting and retaining outstanding talent to join our teams. This position will work across the department to provide excellent support and planning for the Institute’s volunteers, including those in Park City, Salt Lake City, and the Sundance Mountain Resort.

This full-time position will work primarily out of our Park City, Utah office, with regular opportunities to work from home from December 1, 2021 to March 6, 2022. The role may also be required to travel to offsite events and work extended hours including weekends to meet key deadlines and respond to on-call needs as assigned. 


Top priorities include but are not limited to…

  • Conducting internal and external communications and tracking volunteer reimbursement eligibility while ensuring close collaboration with the Finance Department. 

  • Serving as the department contact internally and externally to field reimbursement questions and clarify processes. 

  • Entering information in the volunteer database daily to maintain accurate information in order to process reimbursements. 

  • Developing and conducting training on reimbursement processes  for staff and volunteers, with an emphasis on clearly communicating processing deadlines.

  • Preparing volunteer reimbursement request packages for the Finance Department by reviewing submissions, reconciling receipts, requesting forms, and calculating meal allowances. 

  • Supporting the Finance Department in volunteer reimbursement data collection and financial system data entry. 

  • Assisting with general department communications, including drafting and sending content and responding to inquiries. 

  • Planning and coordinating logistics for shipments of items to staff and volunteers participating remotely.

  • Sourcing and communicating with vendors to support the Staff and Volunteer Lounge.

  • Planning meal drop-offs and item deliveries to support staff and volunteers.

  • Planning logistics of and supporting with Volunteer Check-In and the Volunteer Hub.

  • Communicating and processing volunteer status changes in conjunction with other department coordinators. 

  • Providing support to the team during the Festival to provide clarification on the reimbursement process and accomplish goals. 

  • Providing general support for the team, department communications, and projects.


You have the following direct or transferable skill sets:

  • Legal authorization to work in the United States. 

  • 1 years of related work experience. 

  • Excellent written, verbal, and interpersonal and communications skills to work effectively with a variety of people.

  • Excellent organizational skills, with the ability to manage multiple projects and prioritize.

  • Proficiency in Google and Microsoft Office applications.

  • Strong analytical skills.

  • Prior experience working with volunteers is a plus.
