Primary Function of Position

In this role, you will be responsible for all aspects of payroll, recording deposits, ordering supplies, and month-end journal entries. This position also assists with other finance duties the Finance Director assigns.

 

Major Position Responsibilities

  1. Communication & Coordination: Maintain open communication and coordination with the Finance Director to meet all required deadlines.
  2. Expense Awareness: Be aware of unallowable expenses that cannot be charged to a government contract.
  3. Internal Control Knowledge: Understand the internal control structure related to accounts payable, purchasing, cash receipts, etc., ensuring compliance unless approved by the executive director.
  4. Biweekly Tasks:
    1. Enter employee payroll information from the maintenance file.
    2. Perform payroll data entry and maintain payroll files.
    3. Prepare payroll liability check requests and reports.
    4. Ensure payroll information confidentiality among HR Director, Finance Director, and Contract Compliance Director.
  5. Monthly Tasks:
    1. Reconcile payroll liability accounts and the payroll cash account.
    2. Prepare accounts payable (A/P) month-end journal entries for copier expenses, copy paper, and printing expenses.
    3. Handle bus pass reconciliation and distribution of new bus passes.
    4. Download and send financial reports to program directors.
  6. Budget Assistance: Assist with financial budget preparation upon request by the Finance Director .
  7. Other duties as assigned
 

Work Environment

  • This position is in a professional office environment using standard equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
 

Physical Demands

  • This is primarily a sedentary role; however, some filing is required. This would require lifting files, opening filing cabinets, and bending or standing as necessary.
 

Skills, Knowledge, and Abilities

  1. Accounting Background: Familiarity with payroll, general ledger, accounts payable, and accounts receivable.
  2. Office 365 Proficiency: Required proficiency in Office 365, particularly Excel.
  3. Payroll and Accounting Software Experience: Knowledge of payroll and computer accounting software.
  4. Accurate and Efficient Work: Ability to work accurately and quickly with minimal supervision.
  5. Ten-Key Proficiency: Proficient with ten-key by touch.
  6. Communication Abilities: Knowledge of grammar, spelling, understanding verbal and written instructions, and effective time management.
  7. Organizational Skills: Strong organizational abilities and meeting deadlines.
  8. Positive Working Relationships: Ability to maintain pleasant and professional relationships with staff.

Education, Training, and Experience

  1. Bachelor's degree in accounting or equivalent experience.
  2. Experience with nonprofit accounting software is a plus; Sage is preferred.
  3. Payroll experience, including using payroll software to prepare payroll; Paylocity preferred.
  4. Knowledge of accounting principles for not-for-profit corporations is a plus.
 

Background Screening Requirement

  • Must pass a national BCI/FBI background check.
 

Licenses, certifications, and credentials

  • Current Utah driver's license, proof of auto insurance with minimum policy liability limits of $50,000 per person and $100,000 per incident, 21 years of age or older, a clean driving record, and ability to meet CCS vehicle safety requirements.
 

Position status and expected schedule

  • This is a full-time, non-exempt position.
  • The general schedule will consist of 40 hours working Monday through Friday during regular business hours from 8:30 am to 5:00 pm.
